4. Purpose and legal basis of processing personal data

Purposes of processing:

  • Managing and carrying out accommodation bookings
  • Managing the customer relationship and customer service
  • Invoicing and processing payments
  • Fulfilling statutory obligations (e.g. the reporting obligation of accommodation providers)
  • Developing services and monitoring quality
  • Direct marketing (based on consent)

Legal bases for processing (Article 6 GDPR):

  • Performance of a contract (processing the booking)
  • Legal obligation (accounting and reporting obligations of accommodation providers)
  • Legitimate interest of the controller (managing the customer relationship)
  • Consent (direct marketing)

5. Data content of the register

The following data may be stored in the register:

  • Name, personal identity code (where necessary to fulfil the obligations of the Accommodation Act)
  • Contact details: address, email address, telephone number
  • Booking and accommodation details: arrival and departure date, destination, room type
  • Payment details: billing details, payment method
  • Nationality and passport/identity card details (accommodation reporting obligation)
  • Customer feedback and communication history
  • Any special requests or needs (e.g. accessibility)

6. Regular sources of data

Personal data is collected mainly:

  • Directly from the customer in connection with the booking (online, telephone, email)
  • From booking systems and distribution channels (e.g. Booking.com, Airbnb)
  • From accommodation notification forms completed on check-in

7. Regular disclosures and transfers of data

Data may be disclosed:

  • To authorities to fulfil statutory obligations (e.g. the police, the Tax Administration)
  • To payment service providers for processing payment transactions
  • To the servers of the system suppliers we use (protected by processing agreements)

Data is not transferred outside the EU/EEA without appropriate safeguards.

8. Data retention period

  • Customer data is retained for the duration of the customer relationship and for a maximum of 3 years thereafter
  • Invoicing and accounting data for 6 years in accordance with the Accounting Act
  • Accommodation notifications for 1 year in accordance with the Accommodation Act
  • Direct marketing consent is valid until the consent is withdrawn

9. Principles of protecting the register

Data is processed confidentially. Protection is implemented through:

  • Electronic data: usernames, passwords and access control; data is encrypted during transfer
  • Access to data is restricted to only those persons whose duties require it
  • The system suppliers used are obliged, through appropriate agreements, to comply with data protection requirements

10. Rights of the data subject

You have the right to:

  • Right of access – to be told what personal data of yours we process
  • Right to rectification – to request the correction of incorrect data
  • Right to erasure – to request the deletion of your data ('the right to be forgotten')
  • Right to restriction of processing in certain situations
  • Right to data portability (transferring data from one system to another)
  • Right to object to processing, in particular as regards direct marketing
  • Right to withdraw consent at any time, where processing is based on consent

11. Right to lodge a complaint with a supervisory authority

If you consider that the processing of your personal data infringes data protection legislation, you have the right to lodge a complaint with the Data Protection Ombudsman:
